Who we are
This website is run by JC Sports Online Ltd (“JC Sports”, “we”, “us”), a company registered in England and Wales (company number 13479721), registered office First Floor, 10 Rotherbrook Court, Petersfield, Hampshire, GU32 3QG.
We are the data controller for the personal information described in this notice. If you have any questions about it, use our contact form, or write to us at JC Sports Online Ltd, First Floor, 10 Rotherbrook Court, Petersfield, Hampshire, GU32 3QG, marked “Data protection”.
What we collect
- Enquiries: when you use a form on this website we collect your name, email address, phone number and what you tell us — for example your area, your child's school, your school or nursery's name and location, your role and your message.
- Chat: if you chat with Jennifer, our virtual assistant, we keep the conversation and any contact details you choose to share so a member of our team can follow up.
- Bookings: holiday camps and clubs are booked through Pebble, and wraparound care through Kids Club HQ. Those platforms collect the booking, child, medical and payment details needed to provide the session, and share them with us so we can care for your child safely.
- Website use: basic technical information such as your browser, device and pages visited, collected through cookies and similar technologies (see Cookies).
We don't ask children to give us personal information through this website. Information about a child is provided by their parent or carer, or by their school.
How we use it and why
- To answer your enquiry and pass it to the right person (for parents, the area manager for your area) — legitimate interests in responding to people who contact us.
- To provide camps, clubs, wraparound care and school services you have booked or agreed with us — performance of a contract.
- To keep children safe and meet our legal duties, including Ofsted registration, safeguarding, health and safety, accident and incident records — legal obligation, and where health or special category information is involved, the substantial public interest conditions for safeguarding children and the health and social care provisions of the Data Protection Act 2018.
- To send you news and offers about our camps and clubs — only where you have consented or, for existing customers, where the law allows it. You can unsubscribe at any time using the link in any email.
- To run and improve the website and understand which pages are useful — legitimate interests, and consent where cookies require it.
Who we share it with
We never sell your information. We share it only where needed, with:
- Our team — the area manager, coaches and childcare staff who look after your child or your school.
- Service providers who process data on our behalf under contract, including our CRM and website platform (HighLevel), Google Workspace, our booking and payment providers (Pebble, Kids Club HQ, PonchoPay, Stripe) and our accountants.
- Your child's school, where the service is delivered for or with the school.
- Regulators, local authority children's services, the police or emergency services where the law requires it or a child's safety depends on it.
Some of these providers store data outside the UK (for example in the United States). Where they do, transfers are protected by UK adequacy regulations or the UK International Data Transfer Agreement / Addendum.
How long we keep it
- Enquiries that don't lead to a booking: up to 2 years from our last contact.
- Booking, attendance and payment records: 6 years after the end of the financial year they relate to.
- Accident, incident and safeguarding records: for the periods set out in statutory guidance and our insurers' requirements, which for records about children can be until they reach 25 or longer.
Your rights
You have the right to ask for a copy of your information, to have it corrected or deleted, to restrict or object to how we use it, to data portability, and to withdraw consent at any time. To make a request, use our contact form, or write to us at JC Sports Online Ltd, First Floor, 10 Rotherbrook Court, Petersfield, Hampshire, GU32 3QG. We will respond within one month.
If you're unhappy with how we've handled your information, please tell us first so we can put it right. You can also complain to the Information Commissioner's Office at ico.org.uk.
